1. Information We Collect

1.1 Account and Organization Information

When you register for the Service, we collect:

• Organization name and charitable gaming license number;
• Name and email address of the account holder(s);
• Billing address, as required by our payment processor.

1.2 Compliance and Financial Data

As part of using the Service, you enter financial and operational data related to your charitable gaming activities, including but not limited to:

• Session records (dates, venues, formats);
• Pull tab game records (sales, payouts, deal activity);
• Bingo occasion activity data (receipts, payouts, prizes);
• Raffle records;
• Progressive game tracking data;
• Expense records;
• Volunteer information as entered by you;
• Quarterly and session-level financial summaries.

This data is entered entirely by you and is used solely to operate the Service on your behalf.

1.3 Payment Information

Payment transactions are processed by Stripe, Inc. We do not store full credit card numbers or payment card data on our servers. Stripe's handling of payment data is governed by Stripe's own Privacy Policy, available at stripe.com/privacy.

1.4 Usage and Technical Data

We may automatically collect limited technical information when you use the Service, such as browser type, IP address, pages visited within the application, and error logs. This information is used solely for service reliability and security purposes.

2. How We Use Your Information

We use the information we collect to:

• Provide, operate, and maintain the Service;
• Process subscription payments and send billing communications;
• Send transactional emails (e.g., password resets, account notifications);
• Respond to support requests;
• Investigate security incidents and enforce these Terms;
• Improve the Service based on aggregate, non-identifying usage patterns.

We do not sell your data. We do not use your compliance or financial data for any purpose other than providing the Service to you.

3. Data Sharing and Third-Party Services

We share your information only as necessary to operate the Service, and only with the following categories of service providers:

• Stripe, Inc. — payment processing. Stripe receives billing information necessary to process subscription payments.
• Resend — transactional email delivery. Resend receives your email address and the content of system-generated emails (e.g., password resets).
• Railway (infrastructure provider) — the Service is hosted on Railway's cloud platform, which stores and processes your data on our behalf under a data processing relationship.

We may also disclose information if required by law, court order, or government authority, or to protect the rights, property, or safety of BingoBooks LLC, our users, or the public.

We do not share your compliance data, financial records, or organization information with any third party for marketing, analytics, or commercial purposes.

4. Data Retention

Your data is retained as long as your account is active. If you cancel your subscription, your data is placed in a read-only state and retained indefinitely, allowing you to access historical compliance records at any time.

You may request permanent deletion of all data associated with your account by submitting a written request to privacy@bingobooks.com. We will process deletion requests within thirty (30) days. Note that deleted data cannot be recovered, and deletion may affect your ability to retrieve historical compliance records.

5. Data Security

We implement reasonable administrative, technical, and physical safeguards to protect your information from unauthorized access, disclosure, alteration, or destruction. The Service is transmitted over encrypted HTTPS connections. Data is stored in a secured cloud database environment.

However, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security, and you use the Service at your own risk. You are responsible for maintaining the security of your account credentials.

6. Your Rights and Choices

You have the right to:

• Access the data associated with your account at any time by logging into the Service;
• Correct inaccurate account information through your account settings;
• Request permanent deletion of your account and data as described in Section 4;
• Opt out of non-transactional communications (transactional emails such as password resets cannot be disabled without deactivating your account).

7. Children's Privacy

The only intended use of this Service by children under the age of 18 is for the purpose of recording data into a session. Account owners should be over the age of 18. If you believe we have inadvertently collected account information from a minor, please contact us at privacy@bingobooks.com and we will delete it promptly.

8. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or by posting a notice within the Service at least thirty (30) days before the changes take effect. Your continued use of the Service after the effective date of the revised Policy constitutes your acceptance of the changes.

9. Governing Law

This Privacy Policy is governed by the laws of the State of Colorado. Any disputes arising under this Policy shall be subject to the exclusive jurisdiction of the courts located in Colorado.
